2. What Data We Collect

We collect the following categories of personal data:

• Identity and contact details — name, email address, phone number, address, town, county and post code.
• Professional and Supply Network information — for candidates: CV, professional history, role interests, availability, preferred work location, travel distance, driving status, right-to-work confirmation, passport and DBS certificate details. For schools: school name, job title and staff requirements.
• Account data — login details, account preferences and messages sent through the platform.
• Technical and usage data — browser/device information, pages visited and selected website actions measured through our cookie-free analytics configuration (see our Cookie Policy).

We do not collect special category data unless it is required for a specific placement and you have provided it with your consent.

3. How We Use Your Data

We use your data for the following purposes:

• To provide human-led recruitment services, identify potentially suitable candidates and contact people about relevant supply assignments.
• To record Supply Network interests, availability, location, driving and travel preferences for use by authorised staff. The website does not make automatic placement decisions.
• To manage your account and provide access to your dashboard.
• To communicate with you about job opportunities, requests and our services.
• To fulfil legal and safeguarding obligations, including DBS verification in line with Keeping Children Safe in Education (KCSIE) guidance.
• To respond to enquiries submitted through our contact form.

We will never sell your personal data to third parties.

4. Legal Basis for Processing

We process your personal data on the following lawful bases under the UK GDPR:

• Contract — to provide the services you have requested.
• Legitimate interests — to operate our recruitment platform and improve our services.
• Legal obligation — for safeguarding and regulatory compliance.
• Consent — where we ask for your explicit agreement (for example, when you register an account).

You may withdraw consent at any time by contacting us.

5. How We Share Your Data

We share candidate data with schools only for the purpose of recruitment. We share school data (such as job requests) with candidates and staff to support placements.

We use third-party service providers (such as website hosting and email providers) who process data on our behalf under strict confidentiality and data protection agreements. We do not transfer your data outside the UK or EEA unless appropriate safeguards are in place.

6. Data Retention

We keep your personal data only for as long as necessary: for the duration of your account and for up to 6 years after closure to comply with legal obligations. Documents such as DBS certificates are retained only while required for the placement and safeguarding purposes.

7. Your Rights

Under the UK GDPR you have the right to:

• Access a copy of the personal data we hold about you.
• Rectify inaccurate or incomplete data.
• Erase your personal data (the "right to be forgotten").
• Restrict or object to processing.
• Receive your data in a portable, machine-readable format.
• Lodge a complaint with the Information Commissioner's Office (ICO).

8. Security

We implement appropriate technical and organisational measures to protect your data, including encrypted connections (HTTPS), secure storage and access controls. Where you upload documents (CV, DBS, passport), they are stored securely and only visible to authorised staff and, where required, to schools considering you for a role.

We may update this policy from time to time. Material changes will be notified via email or through the platform. The current version was last reviewed on 13 August 2026.
